Who we are

Transpire Accountants is a trading name of Transpire Financial Services Ltd, registered in England and Wales, company number 12221208. Our office is at Flotilla House, Battersea Reach, London SW18 1FX. We are the data controller for the personal information described in this policy.

Contact us about your data at info@transpireservices.co.uk or on 020 7101 3505.

What information we collect

  • Enquiries: your name, email, phone number and the details you put in our contact forms, quote requests, WhatsApp or live chat messages.
  • Client area registration: your email address and password, or your Google account name and email if you sign in with Google. Then, depending on whether you register as an individual, a business or both: your name, address, phone number, business name and company number.
  • Documents and notes you upload: for example ID documents, bank statements, supplier and customer invoices, expenses, tax letters and any notes you type. These may include sensitive financial details such as National Insurance numbers and tax references.
  • Technical information: IP address, browser type, pages visited and cookie data.

How and why we use it

  • To provide our accountancy services and to take steps before you become a client (contract).
  • To meet legal obligations, including anti-money-laundering identity checks, record keeping, and filing with HMRC and Companies House on your behalf (legal obligation).
  • To run, secure and improve our website and respond to enquiries (legitimate interests).
  • To measure our advertising and use analytics and chat tools (consent, where required).

We do not sell your personal data and we do not use it for automated decision making.

Who we share it with

We share information only where needed and only as far as necessary:

  • HMRC, Companies House and other authorities, when acting for you or when the law requires.
  • Service providers that help us run the business: website hosting (SiteGround), Google (sign-in, advertising measurement and Google Business Profile), live chat and messaging tools (Crisp, WhatsApp), and email providers.
  • Our professional body, insurers and regulators, where required for supervision or claims.

Some providers are based outside the UK. Where that happens we rely on approved safeguards such as the UK International Data Transfer Agreement or an adequacy decision.

How we protect your documents

Files you upload to the client area are stored in a private location that is not publicly accessible. They can only be opened by you, when logged in, and by us. Please do not email sensitive documents when you can use the client area instead.

How long we keep it

We keep client records for six years after we stop acting for you, which covers tax record keeping and anti-money-laundering requirements. Enquiries that do not become work are kept for up to 12 months. After these periods we delete or anonymise the data, unless the law requires us to keep it longer.

Cookies

We use essential cookies to keep you logged in to the client area. We may also use cookies from analytics, advertising and chat tools (for example Google and Crisp) to understand how the site is used and measure our adverts. You can block or delete cookies in your browser settings; the client area login will not work without essential cookies.

Your rights

Under UK data protection law you can ask us to access, correct, delete or restrict the use of your personal data, to move it to another provider, and to object to certain uses. Where we rely on consent you can withdraw it at any time. To make a request, contact us using the details above. We will respond within one month.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve it with you first.
